Assistant Manager, Procurement (Ormond Sandakan)
The Assistant Manager, Procurement supports the procurement function of the hotel by overseeing purchasing activities, supplier coordination, and procurement compliance. This role works closely with operational departments to ensure goods and services are sourced efficiently, cost-effectively, and in line with company policies.
The position plays a key role in supplier management, procurement planning, cost control, and ensuring that purchasing activities support the operational needs of the hotel.
Key Responsibilities
Procurement Management
- Manage and coordinate purchasing activities to ensure goods and services are procured in a timely, cost-effective, and compliant manner.
- Support the development and implementation of procurement plans aligned with company policies and operational budgets.
- Oversee purchase requisitions raised by departments and ensure timely sourcing and procurement.
- Review supplier quotations and conduct price comparisons to ensure best value in terms of cost, quality, and delivery timelines.
- Coordinate the procurement of goods and services required for hotel operations.
- Review and process purchase orders (POs) in accordance with procurement procedures.
Supplier & Vendor Management
- Maintain strong relationships with suppliers and ensure smooth coordination of orders and deliveries.
- Support negotiations with suppliers on pricing, payment terms, and service agreements.
- Monitor supplier performance and assist in vendor evaluations and performance reviews.
- Maintain an updated vendor database, procurement records, and supplier contracts.
Compliance & Cost Control
- Ensure procurement activities comply with company policies, internal controls, and audit requirements.
- Monitor procurement spending and support cost-control initiatives across departments.
- Identify opportunities for cost savings and procurement process improvements.
Logistics & Procurement Coordination
- Coordinate logistics arrangements and follow up on overseas purchases including customs clearance when required.
- Work closely with internal departments to ensure purchased items meet operational specifications and delivery timelines.
Reporting & Administration
- Prepare procurement reports, track purchase orders, and maintain procurement documentation.
- Provide procurement data and reports to management for budgeting and operational planning.
- Perform any other procurement-related duties assigned by the Procurement Manager or Financial Controller.
Who Must You Be
- Bachelor’s Degree or Diploma in Supply Chain Management, Business Administration, or a related field.
- Minimum 4–6 years of procurement experience, preferably in hotel, resort, or F&B chain operations.
- Strong understanding of procurement processes, vendor management, and supply chain operations.
- Experience reviewing quotations, price benchmarking, and supplier negotiations.
- Strong organizational and analytical skills with high attention to detail.
- Proactive, responsible, and able to work independently with minimal supervision.
- Proficient in Microsoft Office, particularly Excel.
- Strong communication skills in English and Bahasa Malaysia.
- A team player with a positive attitude and willingness to learn.
- Must be based in Sandakan or willing to relocate.
- Willing to travel when required for supplier sourcing, vendor visits, or operational support.
